This Administrative Assistant III position is responsible for providing complex administrative support, technical program assistance, and project coordination for the Director of Competency Training and Development. Work includes but not limited to preparing internal and external correspondence; maintaining filing systems; completing timely/accurate data and training assignment entry plus compiling/analyzing reports through the PeopleSoft Systems. Will provide assistance answering and routing phone calls, disseminating information; preparing and processing employee identification cards and assist in preparation of other training materials related to staff training and development. May provide assistance with coordination of training schedules and training locations; New Employee Orientation and other training; may train others. Work is performed under supervision with moderate latitude for the use of initiative and independent judgment.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift, and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Responsible for data entered into the employee training record. Data entry includes but not limited to: ensuring employee training assignments and training are posted/entered in a timely and accurate manner into the PeopleSoft system. Training rosters and employee training files are developed and maintained. Training data reports are run and analyzed on a regular basis.
Plans and maintains a well-organized office filing systems for ease of access to hard copy records. All filing systems will maintain integrity of sensitive and confidential information.
Prepares correspondence to communicate with internal and external departments; produces, routes, and picks up mail as needed; answers and routes phone calls and messages to ensure accurate and timely communication. Attends meetings and prepares minutes and disseminate.
Plans and maintains classroom schedules to assure proper use of facilities.
Orders and maintains inventory of supplies and reports maintenance work orders as requested using approved facility procedures in order to ensure efficient working order of the department.
Provide assistance with preparing and processing employee identification cards and preparation of other training materials as related to training and staff development.
Demonstrates safety and infection control practice awareness to ensure a safe work experience and assists in care and maintenance of equipment to maintain efficiency of general office and classroom procedures.
Perform other duties as assigned to ensure completion of departmental operations.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Ability to serve as a receptionist for the Competency Training and Development Department. Maintains state and agency standards of conduct.
Have working knowledge of office practices, office management, and administrative procedures.
Skill in use of standard office equipment and software. Computer literacy with knowledge and skills using MS Word, Outlook, and Excel with the ability to use and develop spreadsheets and databases.
Skill with data entry skills and data organization.
Ability to work on difficult or complex tasks and to prepare accurate reports from various data for effective correspondence.
Ability to squat, bend, stoop, kneel, stand, and to lift and carry at least 15 lbs. Proven ability and skill to organize and prioritize tasks and filing systems.
Ability to work both within a team environment and independently to establish effective working relationships.
Ability to communicate with courtesy, professionalism and compassion.
Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively, and to train others.
Registrations, Licensure Requirements or Certifications:
None
Initial Screening Criteria:
Experience in performing moderately complex clerical and administrative assistance; one-year experience preferred.
Experience in working with databases and file management.
Graduation from a standard senior high school or equivalent is generally preferred.
Experience and education may be substituted for one another.
Additional Information:

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
