Job Description

Clerk III - Performs clerical support for the supervisor and staff in a Community Care Services Eligibility (CCSE) unit.  Provides general information about CCSE program services.  Assists Unit Supervisor and/or Administrative Worker in the assignment of intakes and/or changes to staff.  Maintains an Assignment Tracking log and provides appropriate prompting of staff.  Documents information manually and into multiple automated systems.  Verifies client information utilizing multiple automated systems.  Compiles data and prepares statistical reports, as well as ongoing program reports, by using automated systems.  Answers telephones, greets clients and distributes mail.  Completes special assignments and/or reports.  Maintains confidentiality of all incoming and outgoing information.  Provides outstanding customer service in person, over the telephone and via e-mail.  Maintains a positive and productive attitude while working in a fast-paced environment.

 

Essential Job Functions

  • Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
  • Communicates on a basic level with others internally or externally to provide, exchange, or verify information, answer inquiries, address issues, or resolve/report problems or complaints.
  • Opens, dates, sorts and distributes mail (incoming/outgoing mail, reports, documents, printouts, and faxes).
  • Prepares and proofreads correspondence, forms, and other documents (letters, memorandums, travel vouchers, and purchase vouchers) using a personal computer.
  • Prepares basic/intermediate-level ongoing, special narrative, and statistical reports.
  • Maintains records, files, and logs (administrative, personnel, correspondence, purchase vouchers, travel vouchers).
  • Provides excellent customer service in person, over the telephone, and via e-mail to internal and external staff, community partners, and individuals receiving our services.
  • Data enters and monitors automated systems.
  • Performs other duties as assigned.

 

Registrations, Licensure Requirements or Certifications

Current Valid Driver’s License.

 

Knowledge Skills Abilities

  • Ability to effectively communicate orally and in writing with a varied audience.
  • Ability to set priorities, establish timeframes, and meet deadlines.
  • Ability to establish and maintain effective relationships with individuals receiving services, co-workers, contract agency staff, and staff from other federal or state agencies.
  • Ability to operate computer and general office equipment.
  • Knowledge of Microsoft Office to include Outlook, Word, Excel.
  • Knowledge of interviewing techniques to obtain personal information, to make inquiries, and to resolve conflicting statements.
  • Knowledge of resources that serve individuals who are older or have a disability.
  • Ability to assign and monitor the work of others to ensure appropriate and timely response to inquiries, complaints, projects and assignments
  • Preferred ability to communicate orally in English and Spanish

 

Initial Screening Criteria

  • Education equivalent to a high school degree is required.
  • Experience in customer service preferred.
  • Experience in administrative support work preferred.
  • Must be willing to travel approximately 25% of the time to attend training, meetings, and to provide support to other offices.
  • Experience operating computer and phone equipment to complete data entry.
  • Experience with Microsoft Office Programs.
  • Experience using fax machines, printers, and other office equipment.

 

 

 

Additional Information

Must have reliable transportation. Must be able to attend training which may require overnight stay.
