Administrative Assistant III performs complex administrative support and/or technical program assistance work. Supports the Facilities Maintenance Department through developing and assigning daily work orders, assisting with planning and execution of programs and/or administrative projects. Performs moderately complex computer work with facilities work order system, creating and/or maintaining Databases, CAD drawings, spreadsheets, generating reports, word documents, disseminating information, maintaining filing systems, and performing internal administrative support work needed to insure the efficient operation of the Maintenance Department.

 

Works under general supervision of the Plant Manager with latitude for the use of initiative and independent judgment. May train staff on administrative support items and/or technical computer programs.

 

Normal work schedule is 8 hour days Monday through Friday. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. 

 

Essential Job Functions (EJFs):

 

Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

 

Works within facilities work order system (CAFM) creating and maintaining daily, preventative and project work orders.

 

Assists Facility fleet department with maintaining and updating vehicle information in Fleet system.

Maintains and modifies computer spreadsheets and Databases for documentation in the various maintenance programs. Compiles and enters data for charts, graphs, databases, summaries, or reports.

 

Participates in the planning and execution of facilities maintenance and construction program and assists in the development of maintenance department administrative or technical assistance policies and procedures.

Supports maintenance department inventory program.

 

Assists in maintaining Facility drawings using Computer Aided Drafting and Design (CAD) software.

Maintains filing, record-keeping, and records management systems.

 

Provide assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.

Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Knowledge, Skills and Abilities (KSAs):

 

Experience in administrative support work

Knowledge of office practices and administrative procedures.

Skill in the use of standard office equipment and software.

Ability to work independently on difficult or complex tasks.

Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to train others. 

 

Registrations, Licensure Requirements or Certifications:

 

Must possess valid Texas driver’s license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy. 

 

Initial Screening Criteria:

 

Graduation from a standard High School or GED

Experience with computer/computer software programs. 

 

 

Additional Information:

 

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.

 

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.

 

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

 

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
