The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Provides routine clerical support to State Supported Living Center's QIDP Department and related staff such as maintaining files, compiling tabulating data on spreadsheets, checking documents for accuracy, transporting documents, duplicating documents and data input into established databases. Provides assistance in maintenance of hard copy office files and shared electronics files. Answers phones for department and triages callers to appropriate staff. May use dictation equipment. Prepares summaries or minutes of meetings as necessary to document the decisions and recommendations. Functions under moderate supervision of QIDP Coordinator with limited latitude for the use of initiative and independent judgment.
Essential Job Functions (EJFs):
Attends work on a regular and predictable schedule in accordance with the agency leave policy and performs other duties as assigned.
Answers phone and takes accurate messages for QIDP Department and related staff, maintains office schedules and appointments and greets visitors or callers in professional and courteous manner. Utilizes therapeutic communication skills in interactions with patients and interacts with patients in a caring, respectful manner in order to promote the healing process and return of the patient to the least restrictive environment.
Enters data accurately into existing spreadsheets and databases. Skill in using office equipment and computer Microsoft office: develop letters, power point presentations and spreadsheets and other tasks assigned.
Check and proofread all documents and reports requested and submitted to QIDP Department for consistency and accuracy per established procedures meeting all suspense dates and or deadlines.
Distributes documents in electronic form and/or hard copies necessary to other departments,
Ability to prepare and maintain records, patient files, forms, reports, copy and scan documentation. Provide organizational support and performs routine clerical tasks in order to maintain the orderly and efficient functioning of the department.
Schedules meetings, makes room reservations, sets up meeting conference rooms and straightens/cleans up prior to and following meetings. Performs duties at various locations as assigned by supervisor in order to meet the needs of the facility.
Takes minutes or notes for documentation of decisions and recommendations from the Inter Disciplinary Teams (IDT). Prepares draft of minutes/notes and provides to QIDP Coordinator for review, editing and approval.
Submit work orders, supply orders, schedule pick-ups, and/or receives documents, supplies, equipment, or materials; checks for quantity and quality; makes arrangements for repairs and services for office equipment as needed.
Knowledge, Skills and Abilities (KSAs):
Knowledge of business or program terminology, methods, and procedures; of office procedures; and of spelling, punctuation, grammar, and arithmetic.
Skill in using a personal computer: knowledge of word processing, spreadsheets, databases and business office procedures/equipment.
Ability to prepare and maintain detailed records, files, and reports, type accurately, enter data at a speed consistent with work requirements (at least 40-50 wpm).
Skill preparing and maintaining detailed records, files, reports and summaries or minutes of meetings as necessary to document the decisions and recommendations.
Knowledge of office procedures and general clerical work. Ability to organize self and department needs, seeks prioritization from supervisor and meets all deadlines.
Displays attention to detail and ability to effectively schedule self and Department needs in order to maximize time and achieve desired outcomes.

Initial Screening Criteria:
Graduation from a standard senior high school or equivalent is required.
At least two years of paid work experience in a clerical position which included using computer for word processing, spreadsheets, and data entry.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).

All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
