Administrative Assistant for the Habilitation Therapy Department works under moderate supervision with limited latitude for the use of initiative and independent judgement and reports directly to the Director of Habilitation Therapies. Maintains various records for the department. Orders supplies for OT and PT as well as Speech, Audiology and Diet Office. Prepares travel requests and travel vouchers for the Habilitation Therapies staff. Receives, routes and tracks professional consults. Reports time for department employees. Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. Answers telephone, refers callers to appropriate staff, takes messages, and answers questions. 

 

Essential Job Functions (EJFs):

 

Answers telephone, refers callers to appropriate staff, takes messages, and answers questions.

Maintains various records for the department.

Prepares travel requests for department staff.

Orders supplies for Habilitation Therapies areas.

 

Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location

Ability to work under extreme pressure while maintaining a courteous and business-like demeanor at all times.

Ability to maintain files.

Ability to communicate effectively with various facility staff members, various agency staff members, and consumers.

Knowledge of office practices and administrative procedures.

Skill in the use of standard office equipment and software.

Ability to maintain confidentiality at all times.

Knowledge of the work done in OT, PT, Speech, Audiology and Dietitian areas.

Initial Screening Criteria:

 

Two years’ experience of administrative support preferred. Graduation from a standard senior high school or equivalent. Experience working with the departments within the Habilitation Therapies area, (OT/PT, Speech, Audiology) is generally preferred.

 

Additional Information:

 

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).

 

Males between the ages of 18 – 25 must be registered with the Selective Service.

 

All State Supported Living Center Employees are subject to Random Drug Testing.

 

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
