The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The Administrative Assistant I serves as the office manager and performs all clerical tasks for the department.  The Administrative Assistant I ensures the completion and accuracy of all Food Service records.  The Administrative Assistant I works under the general supervision of the Director of Food Service.  In the absence of the Director of Food Service, the Administrative Assistant I supervises the Clerk II who performs clerical work for the department.  Completion of work requires occasionally originating new methods and/or techniques and decisions are varied but based on well-defined guidelines.

 

Essential Job Functions (EJFs):

 

Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.

 

Generates orders for food, equipment and supplies using appropriate computer programs to ensure proper amounts of food, equipment and supplies are on hand to meet department needs.  Also acts as one of the facility’s requisition requesters.  (10%)

 

Records accurate frozen inventory and food reservoir data to ensure proper amounts of food and supplies are ordered.  (10%)

 

Prepares Food Service department accounting records and reports to ensure accurate and timely submission to Central Office.  (35%)

 

Supervises and trains other clerical staff in the Food Service Department to ensure all clerical staff are cross trained in all clerical areas.  (10%)

 

Processes termination/resignations/retirement paperwork, new hires/promotions and pattern changes.  Works to ensure departmental compliance with the APSR and CAPPS/CCSSLC Policies & Procedures are met.  (15%)

 

Conducts performance evaluations of assigned staff in order to give employees timely feedback on their performance.  (10%)

 

Ensure that assigned staff participate in mandatory training in order to ensure staff competence and development.  (5%)

 

Promotes and advocates principles of workforce diversity as detailed in the department's Workforce Diversity/Affirmative Action Plan in order to achieve cultural diversity in the department.  (5%)

 

Other duties as assigned include, but are not limited to, actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.  Such participation may require an alternate shift pattern assignment and/or location.

 

Knowledge, Skills and Abilities (KSAs):

 

  • Texas Driver's License with less than 10 points
  • Ability to operate standard office equipment.
  • Ability to supervise and train.
  • Must be able to type 40 wpm accurately.
  • Knowledge of Human Resource Policies and Procedures.
  • Knowledge of CCSSLC Worker's Comp Management Plan.
  • Knowledge of Windows, Word, Excel, APICs and MIMS is required.
  • Able to keep department records current at all times.
  • Able to accurately record and relay telephone messages at all times.
  • Able to compile a Food Service Accounting Report from accounting records and reports.
  • Successfully complete all PMAB training as prescribed by Human Resource Development.
  • Follows CCSSLC and Food Service department Policy and Procedures at all times.
  • Interacts with individuals residing on campus in an emotionally supportive and therapeutic manner.
  • Adheres to department dress code and hygiene standards.
  • Shows a pattern of successful and cooperative interactions with others.
  • Completes job tasks within agreed time frames. Infection control in order to provide a safe and healthy work environment.

 

Registrations, Licensure Requirements or Certifications:

 

A Food Handlers permit is required.

 

Initial Screening Criteria:

 

High School diploma or GED is required.

Two years’ clerical experience with one year’s experience as a lead work is required.

 

Additional Information:

 

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).

 

Males between the ages of 18 – 25 must be registered with the Selective Service.

 

All State Supported Living Center Employees are subject to Random Drug Testing.

 

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
