Brief Job Description:

The Texas Health and Human Services Fair and Fraud Hearings department is seeking an administrative assistant. This position provides administrative support to Fair and Fraud Hearings staff. Work includes but is not limited to responding to inquiries from external and internal partners, gathering and providing information on the hearings process, preparing notices, scheduling appointments, receiving, organizing and uploading evidence, processing incoming and outgoing mail, scanning documents, making copies, creating reports, redacting documents, retrieving data and recordings, and completing other duties as assigned by the Manager. The administrative assistant may assist with calling in for hearings and processing dismissals and withdrawals. 

Essential Job Functions (EJFs):

Responding to inquiries from external and internal partners. 20%

Communicating effectively with staff, appellants, and legal representatives to gather and convey information regarding the hearings process. 20%

Complete data entry and upload documents into computer databases including the State Portal, TIERS, and Excel. 20%

Sorting and distributing mail and correspondence (includes faxing, copying). 20%

Receipt of and processing of Petitions for Hearing (receipt, checking for accuracy, scheduling, and sending appointment notices). 10%

Producing statistical reports using Microsoft Office software. 10%

Attends work on a regular and predictable schedule in accordance with agency leave policy.

Knowledge, Skills and Abilities (KSAs):

Knowledge of office practices and administrative procedures.

Knowledge of Microsoft suite to include Word, Outlook, Excel, Teams and PowerPoint.

Knowledge of Business English, including spelling, grammar, and punctuation.

Skill in the use of standard office equipment and software.

Skill in time management and completing projects accurately and on time. 

Skill in prioritizing projects.

Skill in collaborating with others in a professional manner.

Ability to compose correspondence, summaries, and other documents or reports.

Ability to proof and/or edit documents.

Ability to answer telephone calls and emails in a professional manner and communicate information clearly and effectively to a wide variety of parties.

Ability to implement administrative systems and procedures and to interpret rules, regulations, policies, and procedures.

Registrations, Licensure Requirements or Certifications:

N/A

Initial Screening Criteria:

Experience in clerical or administrative support work is preferred.

Experience in MS Word, Outlook, TEAMS, PowerPoint and/or Excel is preferred.

Experience working with State Portal and TIERS is preferred.

Experience with special projects, assignments, and managing multiple tasks with deadlines is preferred.

Graduation from a standard senior high school or equivalent.

Bilingual in English and Spanish is preferred, but not required.
