Warehouse Lead III

This backup supervisory position is located at the (facility name) warehouse, but Supply Services also serves patients/residents at 22 other facilities around the State, so there are opportunities for growth and movement to other parts of Texas if desired. The Warehouse Lead III reports to the Warehouse Supervisor, Supply Services. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Must actively participate and/or serve in a Continuity of Operations (COOP) activation as warehouses must maintain a level of full operational capabilities, regardless of disaster declaration, weather, or other serious impediments to operation.
The Warehouse Lead III (Back-up Warehouse Supervisor) is a key position for Supply Services with essential functions offering opportunities to gain experience related to using modern receiving software systems, warehouse equipment and logistics to assure the patients/residents we serve are supplied their needed supplies for daily living. In the absence of the Warehouse Supervisor this position supervises and trains staff while actively participating in daily warehouse activities while guiding the team to ensure efficient operations continue. The Warehouse Lead III performs moderate logistical inventory and warehouse work. This is accomplished through coordinating warehouse operations and supplies, maintaining security of state property and warehouse stock inventory. Duties include monitoring stock levels for loss prevention and adequate supply to facilities, and ensure warehouse operations are in compliance with established procedures.
Additional tasks include processing replenishments of stock, inventory management, putting away goods, rotating stock, pulling orders from inventory stock bins and delivering goods to state facilities. This is a physically active position where creativity, strength and discipline are important factors to assist with the heavy physical work involved. While the focus of this position is working alongside the Warehouse Supervisor in leading staff and the movement of supplies, this position will also be cross trained to learn new and exciting skills including using the newest up-to-date receiving software systems, handheld devices for inventory control and warehouse equipment. Attends work on a regular and predictable schedule in accordance with agency and departmental leave policy and performs other duties as assigned.

Ensures and assists with coordination of staff duties by assigning, reviewing, and training in the areas of receiving, issuing, rotating stock, loading, and unloading of trucks. Ensures services and supplies are properly distributed and stocked at assigned State Hospitals and State Supported Living Centers. Ensures and plans for arrangement and rotation of stock to prevent spoilage, deterioration, and obsolescence to ensure quality and availability of warehouse stock. (35%)

In the absence of the warehouse supervisor, coordinates and reviews the inventory and stock control records (receipts & issues) and warehouse production reports to provide current and accurate information for inventory and warehouse operations. Generates replenishment requisitions and communicates with suppliers for availability of required stock items. Trains staff in the use of MIMS to provide accurate and timely issuance of warehouse stock. Enters receipts, including numbered assets, into the CAPPS system; coordinates and trains other staff to receive accurately and timely. (25%)

Advises staff on Supply Services SharePoint Procedures and Operating Instructions and assists staff with special problems to meet the goals and objectives of the department. Ensures an efficient system of warehouse management and control. Keeps supervisor advised on inventory, personnel performance, and any warehousing problems. (20%)

Operates and trains staff on the use of material handling equipment including a forklift and pallet jack. Oversees safe handling of materials using forklifts. (10%)

Knowledge, Skills and Abilities (KSAs):
Knowledge of warehousing methods and procedures, of inventory and stock control record keeping, of automated inventory-control systems, of reporting procedures, and of departmental policies and procedures.
Ability to train others and to supervise the work of others in the areas of shipping, receiving, issuing and inventory control.
Ability to review warehouse operations for compliance with established procedures and to transfer stock from one location to another.
Knowledge of applicable rules, regulations, policies, functions, and operations.
Skill in the use of computer and related equipment, including the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
Skill in the use of a calculator.
Skill in the use of mechanical lifting devices used in warehouse operations.
Skill in communicating effectively both verbally and in writing.
Ability to use a handheld device for the purpose of managing warehouse stock and receiving goods.
Ability to prepare reports and maintain records.
Ability to coordinate with other staff, departments, officials, agencies, organizations, and the public.
Ability to make arithmetic computations.
Registrations, Licensure Requirements or Certifications:
Valid Class C Drivers License (Texas Drivers License preferred) to be checked yearly for any violations or suspensions.
Forklift Driver Training - SAF0100, completion required within six (6) months of employment.
Initial Screening Criteria:
1. Graduation from an accredited high school or GED.
2. Work experience using computer software systems or something similar preferred.
3. Experience supervising or leading the work of others.
4. Work experience in inventory control or material handling equipment.
