Administrative Asst II - Under the direction of the Director of Vocational and Education and Training, the Vocational Services Administrative Assistant II, is responsible for the planning, coordination, development, and implementation of the vocational programs of the facility in accordance with applicable regulatory provisions and within the framework of the stated philosophy of the facility. The Administrative Assistant II assures the delivery of quality care, support, vocational training for residents who attend work. The Administrative Assistant II develops and implements tracking systems to ensure required documents are timely with quality standards in mind. Familiar with the Department of Labor Laws in relation to resident workers. The Administration Assistant II is responsible for working cooperatively with other divisions and departments and ensuring harmonious working relationships with the unit staff and disciplines. The Administrative Assistant II is responsible for consultative and administrative duties in addition to Administrative Assistant tasks. Some travel will be required, and work schedule may vary situationally or as needed. Works under general supervision with moderate latitude for the use of initiative and independent judgement.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Provides consultative services and technical assistance to plan and implement effective program services. Monitors service delivery in the work center, to ensure effective and efficient programs are carried out according to the resident’s worker’s Action Plan. Oversee negotiations for business contracts with various companies. Ensures that resident/staff health and safety is maintained throughout the day. Maintains compliance with applicable rules, standards and regulations. Ensure that the Department Of Labor Laws is followed when pertaining to resident workers and school age children. Coordinates departmental activities with other organizational components. Coordinates departmental activities with other organizational components. Maintains knowledge in relevant areas of administration and delivery of services.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Working knowledge of the vocational rehabilitation/training process. Knowledge of skills and adaptations necessary for employment of people with disabilities. Knowledge of psychological, social, vocational, and independent living issues faced by people with intellectual disabilities pursuing gainful work activity. Knowledge and understanding of caseload management principles and practices. Knowledge in Department of Labor guidelines related to the Fair Labor Standards Act, subminimum wage authorization, time studies, and prevailing wage.
Proven ability to: Successfully plan, implement, supervise, and evaluate vocational service delivery system. Written skills to develop effective memos, reports, proposals, and procedures. Effectively communicate with staff, interdisciplinary team, and other departments. Knowledge of state and federal, and local policies relating to vocational services.
Registrations, Licensure Requirements or Certifications:
Must possess valid Texas driver’s license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
Initial Screening Criteria:
High School Graduate or GED is required.
Two years’ experience working as a vocational trainer, job coach, or job-readiness trainer with the individuals with intellectual disabilities, preferred.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).
Males between the ages of 18 – 25 must be registered with the Selective Service.
All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
