The Records Analyst III (CRS Coordinator) performs routine tasks to assist the Director of Facility Information Management in the management of the client record system. The CRS Coordinator specializes in the creation of note templates, order groups, and coordinates with departments for any approved changes to the templates or order groups in the client record system by the Director or a hospital committee. The CRS Coordinator drafts training materials and may provide short in-person or virtual training of the client record system and provides basic technical support to end users. The CRS Coordinator proposes resolutions of problems identified in the client record system to the Director of Facility Information Management. The CRS Coordinator responds to calls and questions regarding the client record system from end users. The CRS Coordinator assists the Director of Facility Information Management in creating and preparing procedure documents for the client record system. The CRS Coordinator further specializes in the admission and discharge functions and requirements within the client record system. The CRS Coordinator works under moderate supervision of the Director of Facility Information Management with limited latitude for the use of initiative and independent judgment.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
System Support: The CRS Coordinator participates in the implementation and maintenance of the client record system including creating note templates and order groups.
Technical Support: Provides and coordinates basic technical support for client record system users by responding to calls and questions from users regarding issues or problems in the system.
Training: Creates training materials for and provides short, basic training to client record system users, such as basic orientation to the system, navigation functions, and basic operation of forms.
Procedure materials: Assists the Director of Facility Information Management in the creation of client record system procedures and manuals. Creates information pamphlets. Ensures materials are updated and available throughout the facility.
Client Record System Access: Implements and maintains user roles and manages existing roles to ensure proper access levels to assessments, forms, and other options in the client record system.

Registrations, Licensure Requirements or Certifications:
None
Initial Screening Criteria:
Graduation from an accredited four-year college or university with major coursework in data science, business analytics, computer science, computer information systems, management information systems, accounting, finance, mathematics, statistics, economics, or a related field; experience and education may be substituted for one another.
Experience working with client record systems.
Experience with common database software programs preferred.
Experience in writing SQL queries and generating reports preferred.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
