Brief Job Description

 

The Texas Health and Human Services Commission (HHSC) seeks a highly qualified candidate to fill the Administrative Assistant position within the Child Care Enforcement (CCE) program of the HHSC Regulatory Enforcement Division.  This position provides support to the Child Care Enforcement Team. The position must appropriately handle sensitive and confidential information. This position processes mail retains a records tracking system for administrative reviews, enters and compiles data related to day care and residential operations, and routinely maintains program communication with enforcement staff, regulatory staff, law offices, and the general public. This position manages the data entry of State Office of Administrative Hearings (SOAH) case outcomes, enforcement mailboxes, records requests to legal, reviewing requested administrative reviews and assignments, maintenance of assignment logs and spreadsheets, and communications with other regulatory and enforcement units. This position maintains and improves their knowledge and skills related to administrative functions in order to support the mission of Child Care Enforcement.

 

Essential Job Functions (EJFs):

 

Manages the Child Care Enforcement day care and residential care email boxes receiving requests for administrative reviews, questions from providers, and Child Care Regulatory staff. Responds to requests for information from HHSC and DFPS. Professionally handles all correspondence with Legal Enforcement, HHSC, DFPS, day care and residential providers. Works cooperatively with the managers and program specialists to achieve the program and team goals. (50%)

 

Performs data entry into the Child Care Licensing automated system (CLASS) and other electronic systems. Data entry tasks include entering State Office of Administrative Hearings (SOAH) outcomes, issuing refunds of overturned administrative penalties, documenting and assigning requested administrative reviews and referrals to program specialists, retrieving requested records for legal enforcement cases, researching and providing information related to day care and residential care operations.  (30%)

 

Manages the Child Care Enforcement SharePoint site.  Responds to requests from Regulatory Enforcement for information. (15%)

 

Performs other duties as assigned and required to maintain the Child Care Enforcement Team operations. (5%)

Initial Screening Criteria:

 

Graduation from high school or equivalent.

 

Two (2) years full-time administrative support, general office, clerical, secretarial experience.

 

Thirty semester hours from an accredited college or university may be substituted for the required experience.
