Brief Job Description:

The Office of the Chief Operating Officer is seeking an Artificial Intelligence (AI) and Workflow Automation Intern to analyze business processes, identify inefficiencies, and recommend AI and automation solutions. The intern will work closely with stakeholders to assess workflows, analyze patterns, document findings, and support AI and automation initiatives that enhance operational efficiency. The position is temporary in nature and is on-site in Austin, Texas for 15 hours per week during regular business hours.

Essential Job Functions (EJFs):

  • Research AI use cases in public sector operations and assist with drafting AI Project Proposal Submission forms.
  • Collaborate with cross-functional teams to identify process inefficiencies and automation opportunities by mapping current workflows, analyzing bottlenecks, and suggesting improvements. Engage with stakeholders to gather requirements and validate process enhancements.
  • Develop and deploy automated workflows using Microsoft Power Automate to optimize business processes, reduce manual intervention, and enhance efficiency. This includes configuring triggers, actions, and logic-based flows to streamline operations such as data collection, notifications, and approval processes.
  • Create user-friendly applications with PowerApps to enhance data entry, reporting, and workflow efficiency. Design interactive forms and dashboards that integrate with backend data sources, improving accessibility and real-time updates for end users.
  • Research and recommend automation technologies (e.g., RPA, AI-driven solutions).
  • Support the implementation of automation pilots and track performance metrics.
  • Assist in documenting process improvements/ SOPs for AI-enhanced dashboards and predictive maintenance tools and providing support during testing and implementation, including creating user guides, flowcharts, and technical documentation. Participate in user acceptance testing (UAT) and provide troubleshooting support as needed.
  • Support data integration efforts using Power BI and SharePoint for seamless information flow between automated processes and reporting platforms. Develop data connections, enhance data visibility, and contribute to analytics solutions.
  • Participate in meetings to share insights, progress, and recommendations for process enhancements. Collaborate with IT and business teams to refine solutions based on feedback and evolving business needs.
  • Ensure compliance with IT center of excellence standards and best practices in AI and automation.

Knowledge, Skills and Abilities (KSAs):

Knowledge of:

  • AI tools and mapping processes.

Skill in:

  • Microsoft Office, SharePoint, PowerApps, data entry and collection, analyzing patterns and findings, and research.

Ability to:

  • Analyze business processes, identify inefficiencies, provide troubleshooting support, and collaborate with stakeholders. 

Registrations, Licensure Requirements or Certifications:

N/A

Initial Screening Criteria:

  • Currently pursuing or completed a degree in Business, Engineering, Computer Science, or a related field.
  • Experience with process mapping, workflow analysis, or automation tools.
  • Experience with identifying inefficiencies in workflows.
  • Experience with stakeholder engagement.
  • Experience using Microsoft Office, AI tools, workflow automation platforms, and data analysis tools.

Preferred Skills: 

  • Experience with Microsoft Power Apps to build custom applications.
  • Experience with Python, SQL, RPA tools, Microsoft CoPilot (or other AI-powered assistants).
  • Familiarity with process improvement methodologies (e.g., Lean, Six Sigma).
  • Experience with automation platforms such as UiPath, Power Automate, or Zapier.
  • Experience with Power BI for data visualization and reporting.
  • Ability to interpret business requirements and translate them into automation solutions.
  • Experience with building AI prototypes using low-code tools.
