Administrative Asst III
The Administrative Assistant III provides intermediate level administrative support functions for the staff of the IDD Waivers/Community Services/Hospice Utilization Review Section while participating in the Utilization Review area administrative assistant pool supervised by the manager of Budget and Support Services. The Administrative Assistant III interacts with external stakeholders to request and receive supporting documentation and tracks unit deliverables. Makes professional staff assignment as directed by the Regional Managers or Director II or other management staff. Produces unit reports, prepares, routes, tracks, and distributes a variety of documents as assigned. Ensures response to inquiries regarding unit and agency processes and procedures. Schedules training and meeting rooms, provides coordination support for training events, orders supplies, routes messages, faxes correspondence, distributes mail, and provides support functions for the Utilization Review area.
Essential Job Functions:
Interacts with external stakeholders to request and receive supporting documentation. (40%)
Tracks unit deliverables and makes professional staff assignments. (15%)
Arranges travel and reconciles expenses for field reviewers. (10%)
Produces unit reports, letters, and documents. (5%)
Prepares, routes, tracks and distributes a variety of documents. (5%)
Ensures response to inquiries regarding unit and agency processes and procedures. (5%)
Schedules training and meeting rooms, provides coordination support for training events. (5%)
Orders supplies, answers the telephone, routes messages. (5%)
Faxes correspondences and distributes mail. (5%)
Provides other administrative assistant functions through the administrative assistant pool as assigned. (5%)

Knowledge Skills Abilities:
Knowledge of correspondence formatting.
Ability to communicate clearly and in a manner that prompts good customer service to include providing technical assistance or directing inquiries to the right source.
Ability to prioritize workload to promote quality and efficiency of service delivery.
Ability to work cooperatively with others on projects.
Initial Screening Criteria:
Administrative experience working in a fast-paced environment.
Word processing, spreadsheet development and database systems experience.
Experience with organizational skills.
Experience with correspondence formatting.
Experience performing complex clerical and administrative support duties with a high level of attention to detail. Experience in word processing, spreadsheet development and database systems.
Experience developing and maintaining document tracking and filing systems-both computerized and manually.
