The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Maintains the Active paper record in accordance with the State Active Paper Record Guidelines and purging schedule; Maintains I-Books in the correct order according to the I-Book Guidelines and all forms/documents are kept up to date. Acts as the secretary for the assigned home(s) providing clerical support to home personnel. Handles Procurement Card responsibilities under the guidance of the Home Supervisor, assuring that all procurement logs and reports are executed according to facility policy. Prints Communication Logs, with all required forms, by the first day of each month and files them in the Communication Logbook. Appointments are posted and staff is notified of appointment changes; e-mail is checked often and distributed as appropriate; phones are answered timely and messages are routed to the appropriate staff; and perform courier duties for the Home.
Essential Job Functions (EJFs):
Attends work on a consistently regular basis.
Maintains the Active paper record in accordance with the State Active Paper Record Guidelines and purging schedule.
Maintains I-Books in the correct order according to the I-Book Guidelines and all forms/documents are kept up to date.
Handles Procurement Card responsibilities, assuring that all procurement logs and reports are executed according to facility policy.

Other duties as assigned by supervisor which may include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Experience working in a busy office atmosphere
Must have good organizational skills.
Ability to organize and prioritize job duties.
Ability to prepare and maintain detailed records, files, and reports.
Knowledgeable of confidentiality laws and regulations.

Initial Screening Criteria:
Education equivalent to a high school degree.
At least two years of paid work experience in a clerical position using a computer.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).
Males between the ages of 18 – 25 must be registered with the Selective Service.
All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
