Brief Job Description:
Works under the general leadership of Vaccine Data & Finance (VDF) manager, is responsible for providing quality and efficient customer service for vaccine providers across Texas. Work involves overseeing vaccine ordering, tracking and all customer service-related needs for the Texas Vaccine for Children (TVFC) and Adult Safety Net (ASN) programs. Provides timely responses to internal & external inquiries, and assists with vaccine order related requests and issues. Additionally, conducts outreach to ensure data quality and reporting accuracy in accordance to program grant and statutory requirements. This includes, but is not limited to, vaccine order tracking, ensuring accurate inventory management, vaccine dose level accountability per the Texas Legislative Budget Board reports, CDC, DSHS, and other internal and external stakeholders requirements.
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
(40%) Serves as Provider Support Team member for Vaccine ordering & reporting. Handles communication with providers by conducting outreach and fielding incoming calls and emails. Contributes to effective customer service operations by addressing providers concerns in a timely, efficient and knowledgeable manner. Maintains an up-to-date knowledge of pertinent information needed to support job functions, and of the processes and procedures.
(25%) Works closely with the Provider Support Team Lead to communicate gaps in process or information needed to accomplish job responsibilities. Provides feedback Immunization Unit’s approach to delivering customer support to providers. Reviews training materials to ensure quality and consistent information is delivered to immunization providers. Maintains a strong level of professionalism and communication skills, and ensures the processes established are utilized effectively and efficiently.
(15%) Conducts provider outreach regarding data quality and shipments. May provide information and training to providers on how to accurately report and remain in compliance with program requirements.
(15%) Helps oversee provider vaccine transfers for the Immunization Unit, including educating providers on how to initiate requests through the state ordering system. Evaluates data and reports on provider performance on reporting requirements.
(5%) Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Initial Screening Criteria:
• Graduation from an accredited four-year college or university with major course work in public health, social services, or a related field generally preferred
• Minimum of two years’ experience in customer support, preferably in fields related to ordering, logistics and order management
• Experience with Microsoft Word, Excel, PowerPoint, and Outlook.
