Brief Job Description:

 

This position reports to the Accounting Division’s supervisor who oversees mailroom and vendor maintenance personnel. Work involves receiving, processing, and distributing incoming mail and general administrative support within the Accounting Division. This position supports warrant distribution and releases functions, direct deposit notifications, as well as warrant pickups and 1099 forms. This position requires strong customer service and communication skills, and the ability to research, track, and maintain records to ensure accurate and efficient operations. This position promotes, monitors, and ensures that respect is demonstrated for cultural diversity. Must be reliable and attend work regularly in accordance with agency leave policy.

Essential Job Functions (EJFs):

(55%) Responsible for receiving, sorting, and distributing publication(s), invoices, returned warrants, and cash and documentation associated with each process. Assist in distributing payroll warrants and registries to regional payroll contacts. Assist in retrieving agency vendor payment mail copies to include with vendor warrants. Assists daily courier drop-offs and pick-ups.

(20%) Assists with answering and routing inbound calls and provides statewide administrative support regarding inquiries and requests for information.

(15%) Provides administrative functions to the Accounting Division by providing operational support. Maintain filing systems, including confidential and time-sensitive information, updating and maintaining documents and other materials.

(5%) Interacts routinely with all areas of the Office of Finance, program staff, vendors and representatives from the Comptroller of Public Accounts, Texas Building and Procurement Commission, the Treasury Office, and Legal departments.

(5%) Perform other duties as assigned.

 

Knowledge, Skills and Abilities (KSAs):

  • Knowledge of inventory and receiving procedures. Knowledge of office practices and administrative procedures.
  • Skill in establishing and maintaining effective working relationships. Skill in the use of standard agency computer hardware and software such as Microsoft Office Suite. Skill in organizing and prioritizing workload.
  • Ability to manage multiple priorities. Ability to effective verbal and written communication. Ability to work in an organized manner with attention to detail. Ability to deal effectively with diverse groups and individuals and to maintain effective working relationships. Ability to effectively communicate in both a written and verbal format.

Initial Screening Criteria:

  • Graduation from high school or equivalent. Two years preferred experience with administrative/office practices, procedures and utilization of office equipment. Experience with software such as Microsoft Office including Excel.
