Brief Job Description:

Performs entry-level accounting work. Data enters payee/invoicing information for payment processing. Provides internal and external customer service by routinely interacting with accountants, purchasers, program staff, budget analysts, vendors, and representatives from the Comptroller of Public Accounts, Texas Building and Procurement Commission, the Treasury Office, General Ledger and Legal departments. Assists with Texas Identification Number (TIN) and Direct Deposit Program. Works under close supervision, with minimal latitude for the use of initiative and independent judgment.   

Essential Job Functions (EJFs):

Performs entry level accounting and analysis work applying accepted DFPS policies and procedures for the preparation, processing, and maintenance of accounting records. 20%

 

Answers inbound calls placed to the payment hotline and provides administrative support regarding inquiries and requests for information for purchase orders. 10%

 

Responsible for verifying that all required documentation is available to support accounting processes and transactions. 10%

 

Retrieves and compiles information using tracking systems, CAPPS Financials, USAS, and Excel. 10%

 

Receives and responds to inquiries from staff and vendors in reference to Accounts Payable and Financial Services Operations. 10%

 

Responsible for obtaining, documenting, and organizing detailed information to ensure payments are processed timely that may include gathering information from vendors. 20%

 

Audits accounting and financial documents for accuracy and compliance with departmental policies and procedures and state and federal statutes. 10%

 

Works as part of a team. This position attends work on a regular and predictable schedule in accordance with agency leave policy. Other duties as assigned. 10%

Knowledge, Skills and Abilities (KSAs):

Knowledge of:

Knowledge of generally accepted accounting principles and procedures affecting maintenance of accounting records and of automated accounting systems.

Skill in:

Skill in establishing and maintaining effective working relationships. Skill in effective verbal and written communication.

Ability to:

Ability to work in a coordinated effort with strong attention to detail and organizational skills. Ability to provide customer service, perform necessary research, and follow-up timely and accurately.

Ability to data enter and type information into databases while conversing with inbound calls. Ability to interpret and apply accounting theory for accuracy and compliance with departmental policies and procedures and state and federal statutes.

Ability to work accurately with numerical detail.

Ability to analyze, consolidate, and interpret accounting data.

Ability to work independently with limited supervision. Skill in operating office equipment. Uses a variety of software applications including CAPPS, USAS, Microsoft Office to perform essential job functions.

Ability to evaluate problems and develop alternative solutions.

Ability to prioritize tasks and meet required deadlines.

Ability to answers questions from vendors, research problems and perform follow up actions as necessary.

Initial Screening Criteria:

Graduation from high school or equivalent. Have Accounting, auditing, bookkeeping, financial operations, banking or budget experience. Prefer experience in government accounting.
