Under the direct supervision of the Director of Community Relations, the Clerk II, known as the Guest Relations Specialist, will assist in providing an array of exceptional services to customers at the Terrell State Hospital Welcome Center. This position will assist and facilitate the provisions of services offered on a day-to-day basis. The Guest Relations Specialist exercises independent judgment with moderate latitude in prioritizing duties, projects, and other assignments. Responsibilities include but are not limited to screening and responding to telephone calls from the public in a professional and courteous manner; handling and processing confidential information; screening and sorting mail and correspondence; coordinating and maintaining records within hospital data bases; and handling special projects as assigned. In addition, this position works on shift patterns as designated by the Director. (i.e., 8AM-5PM Monday thru Friday with alternating evening visitation coverage, weekends and holidays).
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Filing and maintaining file systems.
Preparing correspondence.
Maintaining logs.
Will be cross trained in every aspect of Welcome Center operations as well as department of Community Relations support functions as assigned by the Director of Community Relations and Volunteer Services.
Required to interface with both internal and external customers employing basic crisis counseling intervention skills and techniques if applicable.
Ability to work in a manner displaying respectfulness, courteousness, and with a positive professional attitude and demeanor. 8. Minimum amount of housekeeping duties are required of all Welcome Center staff.

Knowledge, Skills and Abilities (KSAs):
Knowledge of office procedures and of spelling, grammar, punctuation, and arithmetic.
Knowledge of general clerical procedures, office administration, and of spelling, grammar, punctuation, and alpha and terminal digit filing systems.
Skilled in using a personal computer and accompanying software (Word, Excel, Outlook) and office equipment (fax, phone, copier, etc).
Ability to prepare and maintain records, files, and reports.
Ability to demonstrate intermediate skill level in creating Word documents, Excel spreadsheets, and database software skills.
Must conduct self at all times in a professional manner while interacting with internal and external customers and patients.
Ability to multi-task.
Ability to problem solve difficult or complex situations.
Ability to build rapport with LARs and other visitors.

Initial Screening Criteria:
One (1) year clerical experience required. Two (2) years preferred.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are considered to be at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
